Grants Manual

This Manual has been created to clearly identify roles, responsibilities, and to share several important concepts when thinking about pursuing a grant.

  • Grant Pre-Approval Form

    The Office of Institutional Effectiveness supports Merced College employees through the grant submission process. If you are interested in pursuing a grant please review the Grant Approval Journey outlined below and submit a Grant Pre-Approval Form.

  • Recurring Grant Form

    The Office of Institutional Effectiveness supports Merced College employees through the process of continuing a current grant. If you are interested in pursuing continued funding for a current grant please submit a Recurring Grant Form.

  • Collaboration Grant Form

    The Office of Institutional Effectiveness supports Merced College employees through the collaboration grant process.  If you are interested in a collaboration grant please submit a collaboration grant form.

  • Grant Change Form

    The purpose of this form is to inform cabinet of a change in a funded grant condition (i.e., funding, duration, participants, etc.). Once you complete this form it will be sent to OIE, Cabinet, and Fiscal. Any of these areas may reach out with additional questions or for more clarification.

  • Funding Opportunity Notification Form

    The Purpose of this form is to gather information about a funding opportunity that is available to Merced College. Once completed, this form will be sent to Cabinet via the appropriate Vice President.

Grant Approval Journey

You cannot submit a grant in a vacuum! Follow the steps below to make sure your grant will get the approval and support it needs to be submitted.

Submissions must be made to Cabinet at least 8 weeks prior to grant submission deadline. If you have less than 8 weeks, talk with Dean of OIE immediately to see if it’s still feasible to apply.

Talk with your direct supervisor and VP. You will need their approval before sending the preapproval form to Cabinet, so make sure they are onboard before starting the grant narrative or meeting with partners.

Meet with the Dean of OIE to get guidance and discuss any data and grant evaluation needs for the grant narrative. You will work with the dean and the OIE team throughout the grant process.

The Fiscal Services department has extensive knowledge and experience with grand budgets. They will play a critical role in grant implementation, so it is required to get their involvement from the beginning. Meeting with the at the  start will make the process smoother in the long run.

You cannot apply for a grant without getting Cabinet approval first. You must complete the Grant Preapproval form in order for it to be submitted to Cabinet for their consideration. The form is reviewed and approved by: your supervisor, Fiscal Services, the Dean of OIE, your VP, and ITS. It is best to work with all of them as you fill out the preapproval form so your form does not get rejected after it is submitted.

If Cabinet approves moving forward with the grant, continue to work with OIE through the grant submission process and through the life of the grant. If Cabinet does not approve moving forward with the grant, talk with the Dean OIE to find out why and if it is feasible to consider other grant projects that will better fit the expectations/guidance from Cabinet.

Depending on the agency you are submitting to, you may need to create submission accounts and get signatures from various VP’s and directors at the college. If you wait until the last minute it is very likely you will not be able to submit the grant as required by the agency. Make sure you know early what log-in and internal approvals you will need in order to submit on time.
