  • Graduation from high school  or the equivalent from an acceptable accredited institution
  • Two years of increasingly responsible secretarial experience
  • Type at 55 net words per minute.
  • Top candidates will be required to complete assessment exams. These exams will establish MS Word and Excel proficiency and basic office skills.
  • Be sensitive to and understand the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of community college students

General Description:

Performs varied secretarial and clerical duties for faculty; to assist the area dean by planning, organizing, coordinating, and participating in the clerical operations of the office to which assigned; and to do related work as required.

Essential Functions

  • Performs a wide variety of clerical and secretarial duties for the faculty to which assigned,  involving the use of independent judgment and an understanding of departmental and district policies, procedures, functions, and operations
  •  Coordinates office work flow and functions
  • Collects, compiles, and digests information pertaining to related departmental or educational activities and prepares drafts of reports
  • Develops working knowledge of special terminology related to the function to which assigned
  • Prepares and types curriculum items including schedules, faculty load sheets, faculty locator sheets, course outlines
  • Prepares publications, forms, bulletins, and brochures relating to the area programs
  • Answers correspondence independently
  • Assists in preparing information for budget development
  • Prepares agenda and other information for meetings and conferences
  • Takes minutes
  • Assists students by providing information regarding types of services available at Merced College
  • Assists in maintaining contact and communication with individuals, groups, associations, and professional agencies
  • Receives calls and gives out information where judgment, knowledge, and interpretation of policies, procedures, and regulations are necessary
  • May make travel and hotel reservations
  • Orders and issues supplies
  • Operates computers, a variety of software, and other office equipment
  • May train, assign, and oversee student assistants

Knowledge of

  • Office management
  • Principles of business letter and report writing, including the use of good English, spelling and punctuation

Ability to:

  • Work independently
  • Prepare and edit reports and other materials
  • Compose letters
  • Train and supervise student workers
  • Transcribe minutes for meetings efficiently and effectively
  • keyboard at 55 net words per minute from clear copy
  • Operate automated and specialized office equipment, including a computer and printer
  • Utilize standard and specialized software formats
  • Deal with the public and other District employees in an effective, tactful, and diplomatic manner
  • Work cooperatively with others
  • Maintain and update the division web page

Interview Information: Those applicants deemed most qualified for the position will be invited to appear for oral interviews before a screening committee.  Finalist interviews with district administrators may follow.  A limited number of candidates will be invited to interviews.  Expenses for travel and accommodations will be the responsibility of the candidates.
